Hotel FF&E Shipping and Logistics: Lead Times, Labelling and Consolidation from China

Short answer: Hotel FF&E for lobbies, restaurants and bars is typically produced in 30-45 days for standard designs and 45-60 days for custom work after drawing and sample approval, plus ocean transit and customs clearance, with every date confirmed in the quote. The difference between a smooth opening and a chaotic one is rarely the factory or the ship; it is whether pieces were labelled by area, consolidated sensibly and cleared by a broker who had the paperwork before the vessel arrived.

This guide is written for purchasing agents, owners' representatives and hospitality designers planning the public-area package of a hotel. Lobby Seat (a line by EASEN Commercial Furniture) builds lobby seating, banquettes, restaurant and bar furniture in our own production base in Lecong, Foshan, and ships factory-direct on FOB, CIF or DDP terms on request. It is general logistics information, not customs or legal advice.

Where does the FF&E schedule really start?

The production clock starts at approval, not at purchase order. A hotel package typically moves through these gates before a single frame is cut:

  1. Item list and finish schedule agreed. Each FF&E code (for example LB-01 lounge chair, RS-04 banquette) mapped to a design, dimension and finish.
  2. Shop drawings issued and approved. Dimensioned drawings for every custom piece, signed off by the designer.
  3. COM/COL received. If the designer specifies customer's own material, it must arrive at the factory before cutting begins.
  4. Pre-production sample or mock-up approved where requested, especially for a hero lobby chair or a long banquette profile.
  5. Production. Typically 30-45 days for standard designs, 45-60 days for custom work.
  6. Inspection, packing, loading and transit.

In practice the first four gates cause most delays. A late fabric approval on one sofa can hold a whole container if everything is meant to travel together, which is why we recommend agreeing at the start which items may ship separately.

How should pieces be labelled for a hotel?

Hotels are not one room. A container that arrives with three hundred anonymous cartons forces the installer to open everything in the loading dock. We label every carton with information that maps directly to your schedule:

Label field Example Why it matters
Project and PO Project name, PO reference Matches the shipment to the right order
FF&E code LB-01, RS-04, BR-02 Ties the carton to the designer's schedule
Area / outlet Lobby, all-day restaurant, lobby bar, pre-function Lets the receiver stage by zone
Floor or room Level 1, private dining room Avoids moving pieces twice
Piece count Carton 3 of 7 Shows when a set is complete
Assembly note Legs inside, fixing kit in carton 1 Saves the installer time

The packing list mirrors the same fields, so your receiving team can check off zones rather than hunting for individual items. For multi-outlet properties we can also colour-code labels by area if your installer prefers it.

Should the package ship as one container or several?

Most hotel public-area packages are mixed: large upholstered pieces, tables with stone or timber tops, chairs, host stands and wall panels. Furniture fills a container by volume long before it reaches weight limits.

Option When it fits Watch out for
LCL (shared container) Samples, small top-ups, a single outlet More handling at consolidation hubs, so packing must be stronger
One 20ft A compact lobby or a single restaurant Bulky sofas eat space quickly
40ft or 40ft high cube Lobby plus restaurant plus bar Plan loading order so the first area needed is unloaded first
Several containers, phased Staged openings or tight storage on site Each container is its own customs entry and delivery

Consolidation, meaning loading several outlets' furniture into one container, is usually the most economical route, but only if the site can receive it all at once. If the restaurant opens two months before the lobby, shipping in phases may cost less once storage is counted.

Which Incoterms suit hotel procurement?

We quote FOB, CIF or DDP on request. The choice depends on who your procurement team wants to control freight and import.

  • FOB (port of loading in China). We handle export packing, export clearance and loading. Your forwarder books the vessel, and your broker handles import. Common for procurement firms that already run freight for multiple vendors.
  • CIF (destination port). We also arrange ocean freight and insurance to your port. You or your broker clear customs and arrange local delivery.
  • DDP (delivered). We arrange delivery to the named place with import formalities handled. Read the quote carefully to see whether unloading, storage and installation are included; usually they are not.

What changes between the US, the EU and the Middle East?

The principles are the same everywhere: a commercial invoice, packing list, bill of lading and correct tariff classification. The details differ, and your licensed customs broker or agent is the authority.

United States. Seating and other furniture fall in chapter 94 of the Harmonized Tariff Schedule. An Importer Security Filing (ISF) must be lodged before the goods are loaded in China, so your broker needs supplier details early. Goods of Chinese origin are subject to additional Section 301 duties on top of normal rates, and these have changed several times; ask your broker for the current position when budgeting landed cost. Fire specifications such as CAL TB 117-2013 should be in the order, not raised at the port.

European Union. The importer needs an EORI number, and import VAT and any applicable duty are charged at clearance in the member state of entry. Your designer may specify EN 1021-1 and EN 1021-2 for upholstered seating, or national fire rules for the specific country; on request we source foams and fabrics to those standards, and where a test report exists for the specific item we include it.

Middle East. Requirements vary by country, and some markets require documents such as a certificate of origin to be legalised or attested. Ask your agent before production finishes, not after the container is loaded, because document legalisation takes time.

What does inspection before shipment look like?

Before the balance is paid and goods are loaded, we send photos and video of finished pieces against the approved drawings: dimensions measured on camera, fabric and finish matched to the schedule, packing shown. Payment typically follows a deposit to start production, with the balance due before shipment once you are satisfied with the inspection material; terms are confirmed in each quote. Buyers who want an independent check are welcome to appoint a third-party inspection company such as SGS, QIMA or Bureau Veritas; we simply schedule the visit for when goods are finished but not yet packed.

A receiving checklist for the hotel site

  1. Confirm the dock or service entry can take the delivery vehicle, and whether a container can be unloaded on site or must be devanned at a depot.
  2. Check corridor, door and lift dimensions against the largest pieces, especially curved banquettes like the R120 Curved Dining Banquette.
  3. Book the installer for the delivery day, with a copy of the labelled packing list.
  4. Set aside a staging room per area so the lobby pieces do not end up in the restaurant.
  5. Inspect cartons on arrival and photograph any visible damage before signing.
  6. Unpack, check against FF&E codes, and report shortages or damage promptly with photos.
  7. Keep spare fabric, touch-up kits and fixing hardware labelled for the property's maintenance team.

Where FF&E logistics usually goes wrong

  • Approving drawings late but keeping the original opening date. Production time starts after approval.
  • Late COM. Customer's own fabric that arrives a month late delays the whole container if items ship together.
  • Ignoring lift sizes. A sofa that cannot fit the service lift is a site problem, not a factory one. Long pieces can be made in sections; see our public banquettes.
  • One label for everything. Without area labelling, installers lose days sorting cartons.
  • Leaving fire documentation until the end. Specify the standard with the order so foams and fabrics are chosen correctly.
  • Underestimating storage. If the site is not ready, warehousing and double handling add cost; phase the shipments instead.

For pieces that typically make up the lobby core, see the lobby seating collection.

FAQ

How long does hotel FF&E take from China?

With drawings and samples approved, production usually runs 30-45 days for standard pieces and 45-60 days for custom FF&E. Add time for drawings, COM delivery, inspection, ocean transit and customs clearance. Your quote confirms the schedule for your package.

Can you ship the lobby, restaurant and bar in one container?

Yes, if the site can receive them together. We load in the order you need things unloaded and label every carton by area and FF&E code. If outlets open at different times, phased containers may be more practical.

Do you work with our purchasing agent's freight forwarder?

Yes. On FOB terms we deliver to the port of loading and hand over to your forwarder, providing the commercial invoice, packing list and details needed for filings such as the US ISF.

Can a third-party inspector check the goods before shipment?

Yes. You can appoint an inspection company such as SGS, QIMA or Bureau Veritas, and we schedule the visit when production is finished and before packing. We also send our own inspection photos and video before the balance is due.

Share your FF&E specification, drawings or a short project brief with quantities and target dates. We reply with a quote, clarifications and lead times by item.
